What information is needed for an oversized transport quote?
A practical checklist that helps the carrier assess the route, select equipment and quote oversized transport without late surprises.

A standard freight enquiry may need little more than the route, pallet count and weight. Oversized cargo is different. A few centimetres, the centre of gravity or a tight factory entrance can change the trailer, the route and the conditions under which the move is possible.
A useful quote starts with the load, not the mileage
The fastest quote is not the one sent in ten minutes. It is the one that does not need to be rewritten when the truck reaches the loading point. The carrier first needs to understand the cargo, how it will be handled and exactly where it must go.
If a detail is not final, say so. An estimated dimension can support an initial conversation, but it should be clearly marked as an estimate. That keeps a preliminary assessment from becoming a promise based on the wrong assumption.
1. Transport dimensions and total weight
Provide length, width and height in the transport position, together with total weight. Transport position matters: a machine with its boom lowered or an attachment removed can require a very different plan from the same machine in working position.
For heavy or irregular equipment, include weight distribution or the centre of gravity when available. Total weight alone does not show how the load will sit across the trailer and its axles.

2. Exact loading and delivery points
A city name is not a location. Send the full address or coordinates. The final few hundred metres often decide whether a plan works: a narrow gate, sharp turn, slope, soft ground or parked vehicles may matter more than most of the open-road route.
Include site opening hours, entry restrictions and a contact who knows the location. For a construction site, describe the access surface and whether rain changes it.
3. Loading, unloading and securing
Will the machine drive onto the trailer, will a crane or forklift be used, and who supplies it? Are lifting and securing points identified? These answers influence trailer selection, time on site and crew preparation.
Photos from every side often reveal what a drawing does not: a protruding part, sensitive panel, low clearance or a point that cannot be reached safely with a chain or strap.
4. Timing and the real deadline
State the preferred loading date, the required delivery date and how much flexibility exists. On demanding routes, permits, escorts, movement windows and delivery-site conditions may define the available slot.
If the delivery is tied to a crane booking, installation crew or production shutdown, say so at the start. That deadline belongs in the operating plan, not in a note added after the quote.

Send the following in one message. Where information is missing, identify what still needs to be confirmed.
- cargo dimensions and weight
- photos and a technical drawing, if available
- exact loading and delivery locations
- planned loading and unloading equipment
- preferred date and final deadline
- a contact person at both locations
